Position Summary and Responsibilities

The Grants Coordinator is an integral Programs Team member working closely with field offices, headquarters, finance, development and programs staff. Reporting to the Director of Programs, the Grants Coordinator monitors and manages a portfolio of public and private grants and assists in the ongoing development of systems and procedures to ensure effective grants monitoring, implementation and close out. Primary duties include monitoring and managing the award portfolio, donor finance reporting, grant development, project kick-off and close out.

Duties and Responsibilities

· Work collaboratively with field offices and sub-grantees to monitor rate of spending and to troubleshoot and escalate issues as needed

· Monitor monthly budget versus actual expenditures, compile and analyze budget submissions and assist with budget planning

· Ensure activities are implemented, monitored and measured in accordance with grant requirements, procedures and regulations

· Act as primary point of contact between field offices/grantees and headquarters

· Ensure donor communications, requests and modifications are resolved, recorded and documented for future reference

· Design/adapt procedures and associated tools to be used for developing, executing, monitoring and closing grants according to USAID and other donor regulations

· Ensure award files are up to date, consistent, comprehensive and “handover ready” at anytime

· Develop grant oversight work plan, support grant work planning, including design, adaptation, revision, modification and monitoring

· In coordination with finance team, help facilitate payments to partners and sub-awards

· Manage the process of developing and submitting cost proposals in collaboration with program and finance team

· Support the development of concept notes, draft sections of proposals (especially capability statements, budget narratives, management plans, certs, etc.)

Qualifications and Experience

· Minimum 3-5 years of relevant experience in fund management, financial/operational systems, grants management, preferably with an international development organization

· Proven history of implementing USAID-supported projects, including experience managing grants according to USAID regulations and procedures

· Demonstrated knowledge and experience working with, managing, establishing and maintaining collaboration with partners in multi-site programs

· Experience working with and providing technical assistance to NGOs and/or local organizations

· Excellent organization teamwork, written and verbal communication skills,

· Ability to work independently within expressed parameters; completing regularly scheduled tasks and adherence to strict deadlines is essential

· Interest in and willingness to travel internationally several times each year

· Spanish, Mandarin, Ukrainian, Russian, or Bahasa a plus
